Nannybase (operated by OrbitiaLabs LLC, "we," "us") is a coordination app for families and the
nannies they employ — shared scheduling, daily logging, messaging, and payroll-compliance
tracking for a single household workspace. This policy explains what information the app
collects, why, and how it's protected.
Who this applies to
Nannybase's accounts are held by adults — the employing parent(s) and the nanny they work
with. Information about a child (name, birth year, daily-log notes, photos, milestones) is
entered by an adult account holder about a child in their care, not collected directly from or
by the child; children do not have their own Nannybase accounts. If you're a parent, you control
what's entered about your child and can request its removal at any time (see "Your choices"
below).
Information we collect
Everything below is entered directly by an account holder in the course of using the app —
we don't buy, scrape, or infer data from any outside source.
- Account: your email address (used only to send a one-time sign-in code —
we never ask for or store a password).
- Family/household: family name, member names, initials, roles (parent or
nanny), and — for a child in your family's care — first name and birth year.
- Daily logs & milestones: nap times, meals, mood, notes, and any photos
you choose to attach.
- Schedule: shift times, clock-in/out timestamps, and shift-swap proposals
and their history.
- Messages: chat text and any photos sent between family members and the
nanny within a family's own workspace.
- Payroll-compliance tracking: your family's own EIN if you choose to enter
it, which payroll specialist (e.g. HomePay, Poppins Payroll) you've engaged, and self-reported
compliance status/deadlines (Schedule H, state unemployment insurance, workers' compensation,
Form I-9). Nannybase never calculates, stores, or displays gross or net pay, and never
collects Social Security numbers, bank account or routing numbers, or any other payment
credentials — actual payroll processing and tax filing happen entirely with the
third-party specialist you choose, outside this app.
- Expenses: amounts, descriptions, and receipt photos for reimbursable
purchases or mileage you submit.
- Documents: certifications, background-check results, or other files a
family member chooses to upload to their family's document vault, and any expiry date entered
for them.
- References: text and star ratings a parent chooses to leave about a
nanny's tenure with their family.
- Emergency contacts: names, phone numbers, and relationships you add for
people to reach in an emergency — these people are not Nannybase users and are never
contacted by us directly; the app simply opens your device's own phone/messaging app with
their number pre-filled.
- School/daycare calendar sync: the calendar (ICS) link you provide, and the
event titles/dates it publishes — fetched directly from the link you supply, on your device.
- Push notification token: a device identifier used solely to deliver alerts
you've opted into (e.g. an emergency broadcast from another family member).
- Diagnostics: crash reports and basic device/app-version information,
collected automatically to help us fix bugs.
- Subscription status: whether your family workspace has an active
Nannybase Plus subscription. Purchases themselves are handled entirely by Apple's App Store or
Google Play — Nannybase never receives or stores your payment card details.
Nannybase does not use advertising or analytics SDKs that track you across other companies' apps
or websites, and we do not sell your information to anyone.
Who can see your data
Every family's data — logs, schedule, messages, expenses, documents, payroll-compliance
status — is visible only to the members of that specific family workspace (the parent(s) and
their nanny). A nanny who works for two or more families sees each family's data completely
separately; nothing crosses over between families. This isolation is enforced at the database
level, not just in the app's interface.
Where your data is stored
Data is stored with Supabase, our database and authentication provider, on infrastructure
located in the United States. Photos and documents are stored in access-controlled storage,
readable only by members of the relevant family workspace via short-lived signed links.
Third-party services we use
- Supabase — database, authentication, file storage.
- Sentry — crash and error reporting.
- RevenueCat — subscription status management (relays purchase state from
Apple/Google; never handles payment details directly).
- Expo's push notification service — delivers push alerts to your device.
Each of these processes data only as needed to provide the app's functionality — none of them
use Nannybase data for their own advertising or resell it.
Your choices
- You can edit or delete daily logs, milestones, messages, documents, expenses, and
emergency contacts you've added, directly in the app.
- You can request full deletion of your account and every family workspace you own by
emailing support@orbitialabs.com. We'll confirm
and complete deletion within 30 days.
- Declining to grant photo-library access simply disables photo attachments — every other
feature still works normally.
Changes to this policy
If we make a material change to how we handle your data, we'll update the date at the top of
this page and, where required, notify you in the app.
